This post will take you through three steps to improving the way you manage that most precious resource &#8211; your time.\u00a0<!--more--><\/p>\n<h3><strong>Step 1: Identifying what you need<\/strong><\/h3>\n<p><span style=\"font-weight: 400\">Before looking for digital tools it is worth spending a few minutes thinking about what you are doing and how well that is working. Here are some questions to get you thinking:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">How do I keep track of the things I need to do?<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">How do I prioritise tasks and make sure I meet deadlines?<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">What tools and devices do I use? (A diary, notebook, smartphone, tablet, PC?).<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">What sort of tasks do I have? (Do I work alone? In teams? Short tasks or big projects?) <\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">What are the issues I have with my current way of managing my time?<\/span><\/li>\n<\/ul>\n<h3><strong>Step 2: Choosing tools for organizing time and tasks<\/strong><\/h3>\n<p><span style=\"font-weight: 400\">Now you have an idea of what you need in terms of tools it is time to consider some options. First, let\u2019s look at a couple of apps made specifically for students.<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><a href=\"http:\/\/www.mystudylife.com\"><span style=\"font-weight: 400\">MyStudyLife<\/span><\/a><span style=\"font-weight: 400\"> is a free app that was created to help students organise their study tasks. It keeps track of classes to attend and assignments due as well as helping to plan revision and sending reminders. MyStudyLife can be accessed from any web-enabled device and there are apps for <\/span><a href=\"https:\/\/itunes.apple.com\/gb\/app\/my-study-life\/id910639339?mt=8\"><span style=\"font-weight: 400\">iOS<\/span><\/a><span style=\"font-weight: 400\">, <\/span><a href=\"https:\/\/www.google.co.uk\/url?sa=t&amp;rct=j&amp;q=&amp;esrc=s&amp;source=web&amp;cd=4&amp;cad=rja&amp;uact=8&amp;ved=0ahUKEwiC4trpiNPQAhWCcRQKHYfUDfEQFgg4MAM&amp;url=https%3A%2F%2Fplay.google.com%2Fstore%2Fapps%2Fdetails%3Fid%3Dcom.virblue.mystudylife%26hl%3Den_GB&amp;usg=AFQjCNGrWCC4kSaebxrFtnqQeh9LFJqg1Q&amp;sig2=M1auFkTYT0RNiumKn413Jw\"><span style=\"font-weight: 400\">Android<\/span><\/a><span style=\"font-weight: 400\">, <\/span><a href=\"https:\/\/www.google.co.uk\/url?sa=t&amp;rct=j&amp;q=&amp;esrc=s&amp;source=web&amp;cd=5&amp;cad=rja&amp;uact=8&amp;ved=0ahUKEwiC4trpiNPQAhWCcRQKHYfUDfEQFgg_MAQ&amp;url=https%3A%2F%2Fwww.microsoft.com%2Fstore%2Fappid%2F3b763f6d-96dd-40a2-83e3-a3295b8e3697&amp;usg=AFQjCNHG0bpA7PXEYAfOi0bz84yGA1lNSg&amp;sig2=t8-8s3og4lHhAO09vwaBhQ\"><span style=\"font-weight: 400\">Windows<\/span><\/a><span style=\"font-weight: 400\"> and <\/span><a href=\"https:\/\/www.google.co.uk\/url?sa=t&amp;rct=j&amp;q=&amp;esrc=s&amp;source=web&amp;cd=3&amp;cad=rja&amp;uact=8&amp;ved=0ahUKEwiC4trpiNPQAhWCcRQKHYfUDfEQFggxMAI&amp;url=https%3A%2F%2Fchrome.google.com%2Fwebstore%2Fdetail%2Fmy-study-life%2Fmnjdjjiobjicmlhnjlogfgbibihjhkeo%3Fhl%3Den-GB&amp;usg=AFQjCNFu0IS6_Gku5RRhwWfPyLH8VYQYwg&amp;sig2=kXbyoKOZVF3XbaAZs4iA7g\"><span style=\"font-weight: 400\">Chrome<\/span><\/a><span style=\"font-weight: 400\"> &#8211; you can even access your information offline. \u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><a href=\"http:\/\/www.sussex.ac.uk\/its\/services\/informationandsupport\/helpdesk\/sussexmobile\"><span style=\"font-weight: 400\">SussexMobile<\/span><\/a><span style=\"font-weight: 400\"> is the University of Sussex\u2019s own app for students (and staff) which brings together timetables, details of assessments, access to Sussex Direct, Study Direct (VLE), email, the library, careers, housing, Skills Hub and much more. We all have domestic and social lives that also take a bit of organizing so you may want a task management app that will accommodate all aspects of your life. Here are a couple of popular ones that approach the job in slightly different ways:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><a href=\"http:\/\/www.wunderlist.com\"><span style=\"font-weight: 400\">Wunderlist<\/span><\/a><span style=\"font-weight: 400\"> is a great free app that we have featured in this blog before (in <\/span><a href=\"http:\/\/blogs.sussex.ac.uk\/tel\/2015\/06\/23\/clever-apps-for-smart-researchers\/\"><span style=\"font-weight: 400\">Clever apps for smart researchers<\/span><\/a><span style=\"font-weight: 400\"> and <\/span><a href=\"http:\/\/blogs.sussex.ac.uk\/tel\/2014\/09\/23\/study-smart-5-mobile-apps-for-students\/\"><span style=\"font-weight: 400\">Smarter study &#8211; 5 essential apps for students<\/span><\/a><span style=\"font-weight: 400\">). It <\/span><span style=\"font-weight: 400\">lets you create multiple lists so you can have a separate one for each part of your life but then view your tasks by due date and get a daily notification of tasks due. You can use the app to organise your individual tasks, but also share lists and collaborate with others. There are versions for Mac, iPhone, iPad, Android, Kindle Fire, Chromebook, Windows phone and Windows 7, 8 and 10 on the <\/span><a href=\"https:\/\/www.wunderlist.com\/download\/\"><span style=\"font-weight: 400\">Wunderlist download web page<\/span><\/a><span style=\"font-weight: 400\"> and you can also access <\/span><a href=\"https:\/\/www.wunderlist.com\/\"><span style=\"font-weight: 400\">Wunderlist on the web<\/span><\/a><span style=\"font-weight: 400\">.<\/span><\/li>\n<\/ul>\n<ul>\n<li style=\"font-weight: 400\"><a href=\"https:\/\/trello.com\"><span style=\"font-weight: 400\">Trello<\/span><\/a><span style=\"font-weight: 400\"> is rather different in the way it looks, displaying tasks as \u2018cards\u2019 arranged into \u2018lists\u2019 on \u2018boards\u2019. I wrote about Trello recently in the post on <\/span><a href=\"http:\/\/blogs.sussex.ac.uk\/tel\/2016\/11\/01\/working-together-online\/\"><span style=\"font-weight: 400\">Working together online<\/span><\/a><span style=\"font-weight: 400\"> because it is a useful tool for organizing collaborative projects (see Sheila MacNeill\u2019s blog post on <\/span><a href=\"https:\/\/howsheilaseesit.blog\/2015\/03\/25\/using-trello-for-learning-design\/\"><span style=\"font-weight: 400\">Using Trello for learning design<\/span><\/a><span style=\"font-weight: 400\">). Many people prefer its layout to the lists in Wunderlist and other apps. I like it because I can see all of my tasks at a glance and rearrange them as priorities change. The ability to add checklists, comments, images and attach files makes it a great tool for keeping track of progress and the ability to forward emails into a Trello board makes it easy to keep my \u2018to-dos\u2019 where they belong rather than cluttering up my email inbox.<\/span><\/li>\n<\/ul>\n<h3><strong>3. Here are a few options:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><b>Productivity techniques<\/b><span style=\"font-weight: 400\">. Many <\/span><a href=\"https:\/\/www.teamgantt.com\/blog\/the-busy-humans-guide-to-the-best-productivity-systems-in-the-world\/\"><span style=\"font-weight: 400\">productivity systems and techniques<\/span><\/a><span style=\"font-weight: 400\"> have been invented and each has its adherents and critics but it is really about finding one that works for you. <\/span><a href=\"http:\/\/cirillocompany.de\/pages\/pomodoro-technique\/\"><span style=\"font-weight: 400\">Pomodoro<\/span><\/a><span style=\"font-weight: 400\"> is a simple technique that involves tackling work in 25-minute bursts with breaks between. If you like the idea then the <\/span><a href=\"https:\/\/www.tomatoid.com\"><span style=\"font-weight: 400\">Tomatoid<\/span><\/a><span style=\"font-weight: 400\"> website can help you put it into practice. As well as doing the timing for you it will let you name your task, set different work periods and breaks, keep track of tasks not yet completed and add notes as you go. The ability to add notes means that if something pops into your mind while you are working on your task you can jot it down to come back to later instead of getting distracted. <\/span><\/li>\n<li style=\"font-weight: 400\"><b>Managing your online time.<\/b><span style=\"font-weight: 400\"> The internet is a marvellous resource but also a potential distraction. Fortunately there are tools like <\/span><a href=\"http:\/\/www.rescuetime.com\"><span style=\"font-weight: 400\">RescueTime<\/span><\/a><span style=\"font-weight: 400\"> (the Lite version is free) that will show you where you are spending your time online. You can install a <\/span><a href=\"https:\/\/www.rescuetime.com\/browser-plugin\"><span style=\"font-weight: 400\">browser plugin in Chrome or Firefox<\/span><\/a><span style=\"font-weight: 400\"> and install it on your<\/span><a href=\"https:\/\/www.rescuetime.com\/get_rescuetime\"><span style=\"font-weight: 400\"> Mac, Windows, Linux or Android devices<\/span><\/a><span style=\"font-weight: 400\">. Unfortunately the free version won\u2019t let you block those distracting sites, but once you have identified the sites that are your timewasters you can block them using other apps such as: <\/span>\n<ul>\n<li style=\"font-weight: 400\"><a href=\"http:\/\/selfcontrolapp.com\"><span style=\"font-weight: 400\">SelfControl for Macs<\/span><\/a><\/li>\n<li style=\"font-weight: 400\"><a href=\"http:\/\/tinyurl.com\/95xpn34\"><span style=\"font-weight: 400\">StayFocused Chrome extension<\/span><\/a><\/li>\n<li style=\"font-weight: 400\"><a href=\"https:\/\/addons.mozilla.org\/en-US\/firefox\/addon\/leechblock\"><span style=\"font-weight: 400\">LeechBlock for Firefox<\/span><\/a><\/li>\n<li style=\"font-weight: 400\"><a href=\"https:\/\/getcoldturkey.com\"><span style=\"font-weight: 400\">Coldturkey for Windows<\/span><\/a><span style=\"font-weight: 400\"> \u00a0\u00a0<\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400\"><b>Getting the atmosphere right.<\/b><span style=\"font-weight: 400\"> You may not be able to choose where you are working, but there are digital tools for creating an atmosphere conducive to getting your work done. There is a lot of research on <\/span><a href=\"http:\/\/www.independent.co.uk\/student\/student-life\/Studies\/how-music-could-help-you-to-concentrate-while-studying-a6907341.html\"><span style=\"font-weight: 400\">using music and sounds for work and concentration<\/span><\/a><span style=\"font-weight: 400\"> and increasingly people are using ambient sounds to help them focus. You may find you can focus better with birdsong in your headphones or even the gentle sounds of a coffee shop.
