This post will outline some things you can do to make your presentations in lectures, seminars, meetings and conferences accessible to all.<\/p>\n<p><strong>1. Choose a presentation tool that will help you make your slides accessible.<\/strong><\/p>\n<p>Not all presentation tools are equally good for inclusivity. The following tips will look at specific aspects of presentations and some tools will not let you do these things easily.<\/p>\n<p>PowerPoint has been around for a long time and some poor use of the tool has led to criticisms, but it has some great features to help you make your presentations accessible. Some newer tools such as Prezi, Haiku Deck and Adobe Spark offer some exciting visual features, but do not always have the accessibility options that are desirable. For example, <a href=\"https:\/\/prezi.com\/support\/article\/creating\/making-prezi-ada-friendly\/\">Prezi suggests<\/a> adding voice overs, creating a PDF version or recording a video screencast to make a Prezi accessible.<\/p>\n<p><a href=\"https:\/\/accessibility.umn.edu\/\"><span style=\"font-weight: 400\">Accessible U<\/span><\/a><span style=\"font-weight: 400\"> (University of Minnesota) recommends that you choose presentation software that allows you to:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">use pre-defined slide layouts<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">add alternative text to images<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">rearrange and reorder content, so you can control the order in which a screen reader will read it<\/span><\/li>\n<\/ul>\n<p style=\"text-align: left\"><a href=\"https:\/\/accessibility.umn.edu\/tutorials\/presentations\"><span style=\"font-weight: 400\">(https:\/\/accessibility.umn.edu\/tutorials\/presentations \u00a0<\/span><\/a><span style=\"font-weight: 400\">accessed 21\/5\/2018)<\/span><\/p>\n<p><span style=\"font-weight: 400\">PowerPoint and Google Slides both meet these criteria.<\/span><\/p>\n<p><b>2. Use an accessible theme and pre-defined layouts.<\/b><\/p>\n<p><span style=\"font-weight: 400\">If you use pre-defined slide layouts rather than adding your own text boxes your presentation is much more likely to be accessible. PowerPoint and Google Slides both have a range of themes that will create easy to read slides. <\/span><\/p>\n<p><span style=\"font-weight: 400\">In PowerPoint, choose a theme from the Design tab. Then as you add slides you can choose from a selection of layouts. Add alternative text to images.<\/strong><\/p>\n<p><span style=\"font-weight: 400\">PowerPoint and Google Slides both allow you to add alternative text to images so that screen readers can convey to users what is in the image. Try to make this text as descriptive as possible. If the contents of the image is very complex and important to the understanding of the presentation you may want to find an alternative way of presenting the information. <\/span><\/p>\n<p><span style=\"font-weight: 400\">To add alt-text in PowerPoint, right-click the image, choose Format Picture and Alt Text.<\/span><\/p>\n<p><a href=\"http:\/\/blogs.sussex.ac.uk\/tel\/files\/2018\/05\/Picture6.png\"><img loading=\"lazy\" class=\"size-full wp-image-6994 aligncenter\" src=\"http:\/\/blogs.sussex.ac.uk\/tel\/files\/2018\/05\/Picture6.png\" alt=\"add Alt Text in PowerPoint\" width=\"420\" height=\"567\" srcset=\"https:\/\/blogs.sussex.ac.uk\/tel\/files\/2018\/05\/Picture6.png 420w, https:\/\/blogs.sussex.ac.uk\/tel\/files\/2018\/05\/Picture6-222x300.png 222w, https:\/\/blogs.sussex.ac.uk\/tel\/files\/2018\/05\/Picture6-100x135.png 100w, https:\/\/blogs.sussex.ac.uk\/tel\/files\/2018\/05\/Picture6-150x203.png 150w, https:\/\/blogs.sussex.ac.uk\/tel\/files\/2018\/05\/Picture6-200x270.png 200w, https:\/\/blogs.sussex.ac.uk\/tel\/files\/2018\/05\/Picture6-300x405.png 300w\" sizes=\"(max-width: 420px) 100vw, 420px\" \/><\/a><\/p>\n<p><span style=\"font-weight: 400\">As you will want to use this feature whenever you are adding images to presentations, you will probably want to <\/span><a href=\"https:\/\/support.office.com\/en-us\/article\/customize-the-quick-access-toolbar-43fff1c9-ebc4-4963-bdbd-c2b6b0739e52?ui=en-US&amp;rs=en-US&amp;ad=US\"><span style=\"font-weight: 400\">add it to the Quick Access Toolbar<\/span><\/a><span style=\"font-weight: 400\">.<\/span><\/p>\n<p><span style=\"font-weight: 400\">In Google Slides, right-clicking on an image will bring up a range of options including \u2018Alt text\u2019. Make sure the content is in the right order for screen-readers.<\/strong><\/p>\n<p><span style=\"font-weight: 400\">When there are several elements on a slide it may seem obvious which order they should be read in, but screen readers will usually read them in the order you added them, rather than in the order that makes sense!<\/span><\/p>\n<p><span style=\"font-weight: 400\">You can <\/span><a href=\"https:\/\/support.office.com\/en-us\/article\/make-your-powerpoint-presentations-accessible-6f7772b2-2f33-4bd2-8ca7-dae3b2b3ef25#bkmk_winreadingorder\"><span style=\"font-weight: 400\">set the reading order in PowerPoint using the Arrange tool<\/span><\/a><span style=\"font-weight: 400\">, which you can access on the Home tab under Drawing. Choose \u2018Selection\u2019 and then drag and drop the elements into the right order. You need to use the tab key to check the order in which elements would be read. To adjust the order, go to the Arrange tab, select Order and \u2018send backward\u2019 or \u2018bring forward\u2019 to move items up or down in the reading order. \u00a0<\/span><\/p>\n<p><strong>5. Share your presentation in advance.<\/strong><\/p>\n<p><span style=\"font-weight: 400\">It is good practice to share the slides in advance of your presentation as this gives learners the opportunity to get a sense of the content before the presentation. During the session they may want to make notes on the slides.<\/span><\/p>\n<p><span style=\"font-weight: 400\">Lecture slides can be uploaded to Study Direct (for 17\/18) or <\/span><a href=\"http:\/\/www.sussex.ac.uk\/tel\/learningtechnologies\/canvas\/\"><span style=\"font-weight: 400\">Canvas (the new VLE from 2018\/19)<\/span><\/a><span style=\"font-weight: 400\"> for students to access.
